TERMS OF SERVICE

Platforms Covered: padelsheds.com, play.padelsheds.com, and associated mobile and web applications (collectively, the “Platform”)

1. Acceptance of Terms & Overview

1.1. These Terms of Service (“Terms”) constitute a legally binding agreement between you (“User”, “Player”, “Member”, or “you”) and Padel Sheds Group Ltd.

1.2. By accessing our website, registering an account on our booking web application, reserving a court, joining an open or competitive match, hiring equipment, or subscribing to a membership, you agree to comply with and be bound by these Terms.

1.3. If you do not agree with any part of these Terms, you must not use our Platform or facilities.

2. Account Registration, Identity & PadelLevels Integration

2.1. Account Creation: To book courts, enter open matches, or manage memberships, you must register a valid user account. You agree to provide accurate, current, and complete details (including full name, verified mobile number, date of birth, postcode, and gender preference).

2.2. Account Security: You are responsible for safeguarding your login credentials and for all activities that occur under your account. You must notify us immediately of any unauthorised access.

2.3. Age Requirements: Players under the age of 16 must have verifiable consent from a parent or legal guardian to create an account and make reservations.

2.4. PadelLevels Integration & Data Sharing:

• Our Platform integrates with Level Technologies Limited (“PadelLevels”) via secure OAuth authentication and API services to manage competitive player ratings, verified rankings, match balancing, and dynamic calibration.
• By using the Platform and participating in matches, leagues, tournaments, or related activities, you acknowledge that relevant match and sporting data (including player name, player ID, club affiliation, match dates, scorelines, and related sporting data) may be shared with PadelLevels for the operation of ratings, rankings, and related sporting services in accordance with the PadelLevels Terms & Conditions and PadelLevels Privacy Policy.
• PadelLevels acts as an independent data controller in relation to its ratings, rankings, and community services.
• Calibrating Ratings & Match Gating: Calibrating ratings (e.g. provisional ratings displaying uncertainty indicators such as 2.XX or 2.1X) are governed by match-specific eligibility rules set by match organisers or venue defaults.
• Rating Visibility & Masking Rights: Players who object to public processing on PadelLevels community leaderboards may request their personal details to be masked from public third-party view via PadelLevels data rights procedures.

3. Court Bookings, Pricing & Zero-Surcharge Guarantee

3.1. Booking Window: Standard registered account holders may book courts up to 14 days in advance. Active membership tier holders unlock priority booking windows (up to 21 days in advance) as defined by their subscription tier.

3.2. No Platform Surcharges: Padel Sheds does not charge booking fees, convenience surcharges, or third-party platform percentages on court bookings. The price displayed at checkout is the exact total price.

3.3. Payment Processing: All digital payments, split-fee authorisations, saved payment methods, and recurring subscription billings are securely handled via Square. Padel Sheds does not store raw payment card data on its servers.

3.4. Split Checkout & Shared Payment Obligations:

• The match creator may initiate a split payment at checkout to distribute the total court cost across up to four (4) players.
• Invited participants must settle their allocated share before the scheduled match start time.
• If any participant fails to settle their share before the session begins, the match creator remains ultimately responsible for ensuring the outstanding balance is cleared to maintain court access.

4. Cancellations, Rescheduling & Refunds

4.1. Standard Court Bookings:

• 24+ Hours Notice: Bookings cancelled at least 24 hours prior to the reserved start time will receive a 100% refund to the original payment method or full account credit (at the user’s choice).
• 6 to 24 Hours Notice: Bookings cancelled between 6 and 24 hours prior to the scheduled start time will receive a 50% refund to the original payment method or 50% account credit.
• Under 6 Hours Notice: Cancellations made within less than 6 hours of the scheduled start time are non-refundable and ineligible for credit, unless the court slot is subsequently rebooked by another customer.

4.2. Open Matches & Player Dropouts:

• Unfilled Matches: A player may withdraw from an open match without penalty while open slots remain unreserved.
• Full Matches (4/4 Players): Once an open match is fully filled, a player may only withdraw outside the 24-hour notice window. Withdrawals inside 24 hours require the departing player to arrange an eligible replacement or forfeit their court share.

4.3. No-Shows: Failing to arrive for a confirmed reservation or open match without prior cancellation constitutes a “No-Show.” No-Shows forfeit all paid fees and may result in temporary booking restrictions on the offending account.

4.4. Venue & Weather Interruptions: In the event of unforeseen venue closures, safety suspensions, or major technical disruptions, affected players will be issued an immediate full credit or refund.

5. Match Results, Score Validation & Fair Play

5.1. Competitive Match Score Submission: After the completion of any competitive match, the winning team is responsible for entering the official set scores via the Platform.

5.2. Confirmation Window & Auto-Validation: The opposing team has 24 hours from submission to confirm or raise a dispute regarding the submitted scoreline. If no dispute is logged within 24 hours, the match result is automatically confirmed and permanently submitted to PadelLevels for dynamic rating calculation.

5.3. Rating Integrity & Manipulation: Deliberately submitting false scores, artificially manipulating ratings (“smurfing” or rating inflation), or playing under another individual’s identity is strictly prohibited. Padel Sheds reserves the right to recalculate ratings, void fraudulent matches, or terminate platform access for breaches of sporting integrity.

6. Tiered Memberships (Bronze, Silver, Gold)

6.1. Subscription Billing: Memberships operate on a monthly recurring subscription model billed in advance via Square. Your subscription will automatically renew each month unless cancelled prior to the renewal date.

6.2. Off-Peak Allowances: Monthly off-peak court time allocations are credited at the start of each monthly billing cycle. Unused monthly hours do not roll over to subsequent months and carry no cash value.

6.3. Priority & Perks: 21-day advance booking windows, retail/lounge discounts, and member guest privileges are strictly personal, non-transferable, and valid only during an active subscription period.

6.4. Membership Cancellation: You may cancel your membership subscription at any time via your account settings. Cancellation will take effect at the conclusion of your current paid billing period.

7. Venue Access, Entry Credentials & On-Court Conduct

7.1. Venue Access & Credentials: Where automated gate controls, QR scanners, digital entry passes, or PIN codes are utilised across our venues, your entry credentials are strictly personal, non-transferable, and valid exclusively during your reserved slot. Permitting entry to non-registered or unauthorised individuals is strictly prohibited.

7.2. Slot Timing & Punctuality: Bookings strictly cover the reserved start and end times. Players must not enter the court prior to their start time and must vacate the playing area promptly at the end of their session. Lingering on court may result in automated overrun charges and booking suspensions.

7.3. Appropriate Footwear & Attire: All players must wear appropriate athletic apparel and clean, non-marking court shoes designed for padel/tennis turf. Chewing gum, open glassware, and smoking/vaping are strictly prohibited on court.

7.4. Prohibition of Unauthorised Commercial Coaching & Reselling:

• Public court bookings are reserved exclusively for personal recreational and amateur competitive play.
• Providing paid coaching, private instruction, commercial clinics, or running independent paid tournaments on Padel Sheds courts without an official Padel Sheds Coaching License and written agreement is strictly prohibited.
• Sub-letting, reselling, or advertising court slots for third-party commercial profit will result in immediate account termination without refund.

8. Equipment Hire & Facility Care

8.1. Racket & Ball Rentals: All hired rackets, test equipment, and venue gear remain the exclusive property of Padel Sheds and must be returned to designated storage/desk areas immediately following matchplay.

8.2. Damage & Loss: Users are responsible for exercising reasonable care when using facility equipment and courts. You may be held liable for the repair or replacement cost of equipment, glass panels, netting, or fixtures damaged through deliberate misuse, negligence, or aggressive unsporting behavior.

9. Automated Video Highlights, Replays & AI Analytics

9.1. Courtside Recording Technology: On courts equipped with automated video systems, matchplay is recorded to capture footage for automated highlight generation, slow-motion replays, and AI-driven performance statistics accessible via the Platform.

9.2. Technology Provider Terms: Courtside video and automated processing technology is delivered in partnership with our specialized video analytics provider (Aiball Lovelace, S.L.). By using camera-equipped courts and accessing highlight services, you acknowledge the application of the relevant Third-Party Video Terms & Conditions. Highlight clips and recordings are made available to registered match participants for personal review and sporting analysis.

9.3. Download & Multi-Player Consent: Because match recordings capture all active court participants, full match video downloads require the agreement of all playing participants. If any participant objects to a video download, video access will remain restricted.

9.4. Security CCTV: In addition to player highlight cameras, 24-hour security CCTV operates throughout venue entrances, common areas, lounges, and playing arenas for public safety, loss prevention, and incident verification in full compliance with UK data protection laws.

10. Digital Wallet, Store Credits & Vouchers

10.1. Account credits, referral bonuses, promotional vouchers, or cancellation balances held in your Shed account are non-transferable, non-refundable for cash, and cannot be exchanged.

10.2. Promotional credits and vouchers expire 12 months from the date of issue unless explicitly stated otherwise.

11. Health, Physical Activity & Limitation of Liability

11.1. Assumption of Risk: Padel is a dynamic, high-intensity racket sport involving rapid movement, ball impacts, racket swings, and glass wall rebounds. By booking or participating, you acknowledge the inherent physical risks of the sport and warrant that you are in suitable physical health to engage in strenuous athletic activity. The use of protective sports eyewear is strongly recommended.

11.2. Personal Property: Padel Sheds accepts no liability for the loss, theft, or damage of personal belongings, bags, vehicles, or equipment brought onto venue premises.

11.3. Limitation of Liability: To the maximum extent permitted by English law, Padel Sheds Group Ltd shall not be liable for any indirect, incidental, special, or consequential damages arising from the use of our Platform, facilities, or equipment. Nothing in these Terms excludes or limits our liability for death or personal injury arising from our proven negligence, fraud, or any liability that cannot be excluded under applicable law.

12. User Conduct, Community Standards & Account Suspension

12.1. We are dedicated to maintaining an inclusive, welcoming, and safe environment across our venues and digital community.

12.2. Any form of verbal abuse, discrimination, harassment, physical aggression, or malicious communication via in-app match chats or on-court interactions will result in immediate removal from the premises and indefinite suspension of Platform access.

12.3. Padel Sheds reserves the right to suspend, restrict, or terminate any account that violates these Terms, attempts system manipulation, or disrupts venue operations.

13. Amendments & Governing Law

13.1. Modifications: We may update or amend these Terms from time to time to reflect regulatory changes, facility developments, or platform enhancements. Updated terms will be published on our Platform with a revised “Last Updated” date. Continued use of our Platform constitutes acceptance of the modified Terms.

13.2. Governing Law & Jurisdiction: These Terms and any dispute or claim arising out of or in connection with them (including non-contractual disputes) shall be governed by and construed in accordance with the laws of England and Wales. The courts of England and Wales shall have exclusive jurisdiction.
